ACCEPTANCE OF TERMS AND CONDITIONS
By making a reservation through our website, by email, or in person, you acknowledge and accept these terms and conditions. Any participation in our services will be considered as acceptance of this agreement.
MODIFICATION OF THESE TERMS
INCA FOOTPRINTS reserves the right to update or modify these terms of use without prior notice, except for customers who have already paid for their reservations. The customer is responsible for reviewing our terms and conditions before and after making their reservations and corresponding payments to ensure they are aware of any changes due to force majeure that the Agency may implement.
RESERVATION CONFIRMATION
After a customer makes a booking request, confirmation depends on payment verification through any payment method informed on our website. INCA FOOTPRINTS must specify all included and excluded services. If no response or explicit objection is received from the customer after our communication, it is assumed that they accept our terms and conditions. Consequently, INCA FOOTPRINTS is not responsible for possible misunderstandings or unforeseen circumstances that may arise regarding our products and services.
Note: Please make sure to carefully read, understand, and accept our terms and conditions before confirming your booking with INCA FOOTPRINTS. We are always ready and available to answer any questions our customers may have.
1. RESERVATIONS
Book your trip: You can book a trip with INCA FOOTPRINTS by contacting us directly from your phone via WhatsApp at +51953330430 or by email at incafootprints@gmail.com.
Website bookings: If you book directly through our website, make sure to provide all required passport details, including your full name, passport number, date of birth, nationality, and gender. Once we confirm your payment, verify availability, and obtain the necessary permits, we will notify our client as soon as possible.
Note: Your trip will be considered 100% confirmed only after receiving a written confirmation from INCA FOOTPRINTS TRAVEL S.A.C.
2. BOOKING POLICIES FOR INCA FOOTPRINTS TRAVEL S.A.C.
Initial deposit: To secure a reservation for a tour or trek with INCA FOOTPRINTS, customers must make a non-refundable deposit (the amount varies depending on the itinerary booked). This deposit can be paid via PayPal or credit/debit card. Please note that the traveler must pay a 5% service fee applicable to both payment methods. Once the booking process begins, it is understood that the customer has carefully read and agrees to the terms and conditions of INCA FOOTPRINTS.
Booking confirmation: The booking is confirmed and binding from the date INCA FOOTPRINTS TRAVEL S.A.C. acknowledges receipt of the customer’s deposit. At this point, a binding contract is established between the customer and INCA FOOTPRINTS.
Behavioral responsibility: All individuals listed in the booking are jointly responsible for the contract with INCA FOOTPRINTS TRAVEL S.A.C. The person signing the contract represents all individuals named in the booking. This means all parties are informed and agree to the terms and conditions of INCA FOOTPRINTS.
Information required for booking: Along with the non-refundable deposit (with the exceptions detailed in this document), we require the submission of specific personal information, including the full name, passport number, gender, nationality, and date of birth of each group member, and any other information requested for the booking, as well as whether any group members need medical or other assistance.
If customers have not informed us in advance about the need for special care for any of their members, INCA FOOTPRINTS TRAVEL S.A.C. is not obligated to fulfill terms and conditions not disclosed by the traveler.
3. REQUIRED DEPOSITS FOR TOURS
The deposit amount depends on the specific itinerary chosen by the customer. The details are as follows:
Inca Trail:
- Single deposit: US$ 400.00 per person.
- Note: Deposits are non-refundable and non-transferable. No exceptions.
Salkantay Trek:
- Single deposit: US$ 200.00 per person.
- Note: Deposits are non-refundable and non-transferable. No exceptions.
Alternative packages of more than 4 days:
- Single deposit: US$ 400.00 per person.
- Applies to: Salkantay Trek and Inca Trail, Choquequirao to Machu Picchu and Rainbow Mountain, Cusco, etc.
- Note: Deposits are non-refundable and non-transferable. No exceptions.
Alternative Treks of more than 3 days:
- Single deposit: US$ 200.00 per person.
- Applies to: Ausangate, Lares, Huchuy Qosqo, Choquequirao, etc.
- Note: Deposits are non-refundable and non-transferable. No exceptions.
One-day tours and treks:
- Single deposit: US$ 100.00 per person.
- Applies to:
- One-day tour to Rainbow Mountain.
- One-day tour to Humantay Lake.
- One-day tour to Rainbow Mountain – Palccoyo.
- One-day hike to the 7 Ausangate Lakes.
- One-day tour to Waqrapukara.
- One-day tour to Huchuy Qosqo.
- Full-day tour to the Sacred Valley of the Incas.
- Full-day excursion to Maras and Moray mines.
- One-day tour to the Qeswachaka Bridge.
- Note: Deposits are non-refundable and non-transferable. No exceptions.
Cusco City Tour:
- Single deposit: US$ 30.00 per person.
- Note: Deposits are non-refundable and non-transferable. No exceptions.
Note: We recommend that customers read and understand the deposit requirements carefully before making a booking.
4. PAYMENT POLICIES
a. Accepted payment methods:
For initial deposits and final payments, we accept cash, credit or debit cards, and PayPal. No traveler will be allowed to begin the tour unless full payment has been made.
b. Final balance or payment:
Balance payments must be made at least 2 days (48 hours) before your tour. Payments can be made in cash, PayPal, or credit/debit card. PayPal and card payments carry a 5% service transaction fee.
c. Cash payments:
Cash payments must be made at least 2 days before your tour. We accept both US dollars and Peruvian soles for cash payments. Please note: Torn or damaged bills will not be accepted, as banks in Peru do not accept damaged bills, which lose their value.
d. Bank fees:
All associated bank fees or transaction charges will be the responsibility of the customer.
For clarification regarding payment methods or additional information, please contact your designated travel advisor.
5. CANCELLATION AND REFUND POLICIES
a. Cancellation Request
- All cancellation requests must be formally sent via email directly to your travel advisor.
- The request must be made by the person who originally made the booking and the initial deposit.
b. Initial Deposit
Unfortunately, all primary deposits are 100% non-refundable and non-transferable under any circumstance. Even if there is a medical emergency, your deposit is non-refundable (we do not accept medical notes or documentation as proof for refunds). This is because we allocate these funds to secure your permits, entrance fees, and reservations for camps, hotels, buses, and trains, which are non-refundable to us. Please note that there are no exceptions to this policy.
c. Date Change
In case of changing the date, you will need to pay a penalty of USD $100.00 per person. Please note that this fee is not imposed by us; rather, we need to purchase new tickets as we have already secured all tickets for an originally agreed-upon date, and these are non-transferable or postponable in any way—they will be lost.
If you have requested additional tickets, such as Huayna Picchu, Huchuy Picchu, or Machu Picchu Mountain, an additional penalty will be applied.
That being said, it is important to know that penalty fees for changes vary depending on the type of tour booked with our company.
It is important to note that Machu Picchu and other tickets are non-refundable and non-transferable.
d. Cancellation Fees

e. Additional Considerations
If a client decides to end the tour after it has started, no refunds will be issued. The client will bear the extra expenses resulting from this decision, including food, lodging, and transportation. However, they may rejoin the group for the Machu Picchu tour on the last day (where applicable).
If a client cannot embark on the trek due to physical or health problems, no refunds will be issued. Similarly, the client will be responsible for subsequent expenses such as food, lodging, and transportation. The client may rejoin the group for the Machu Picchu tour on the last day (where applicable).
In case of natural disasters or unforeseen circumstances preventing the fulfillment of a service, clients will receive a 50% refund, considering administrative expenses. No refunds will be provided if such events cause changes in the trekking route.
In case of global pandemics, no refunds will be issued if a service cannot be provided under these circumstances. Instead, clients will be offered an open ticket, allowing them to use the service on an alternative date, subject to availability.
Missing informational meetings will be considered a “no-show.”
Failure to participate in a scheduled tour will also be considered a “no-show.” There will be no refund for a no-show under any circumstances.
There are no refunds for missed services included in your trek.
6. INCA TRAIL TOUR POLICIES
a. Permits:
When booking an Inca Trail tour, you obtain a specific permit exclusively in your name. It is essential to consider the following points:
- Non-transferable: Once obtained, these permits cannot be transferred to anyone.
- Non-refundable: These permits are non-refundable. If, for any reason, you are unable to complete the trek, the permit deposit will be lost.
- No date changes: After purchase, it is impossible to change the dates of your permit.
- Government regulations: Please note that INCA FOOTPRINTS (or any travel agency) does not determine these conditions. They are regulations enforced by the Peruvian Government.
b. Alternative Arrangements:
If for unexpected reasons such as natural disasters, the “Inca Trail to Machu Picchu” is declared closed, INCA FOOTPRINTS will provide an alternative trek to ensure your experience remains intact.
c. Student Discount:
- $20.00 discount.
- Student discounts apply to anyone 17 years or younger, and we require a copy of your valid passport at the time of booking.
7. MEDICAL INFORMATION AND RESPONSIBILITIES
a. Mandatory Disclosure:
When booking, travelers must inform INCA FOOTPRINTS TRAVEL S.A.C. of any existing medical conditions, allergies, or specific health issues.
b. Health and Physical Condition:
Participants must be in optimal physical condition. If you have any concerns about your health, consult with your doctor. If you are over 70 years old, a current medical certificate proving your good health will be required.
c. Assessment of Tour Suitability:
You are responsible for determining if a tour is appropriate for you, considering your medical history, current condition, and physical capabilities. Consult your doctor for medical advice, vaccination recommendations, and other preventive measures. INCA FOOTPRINTS TRAVEL S.A.C. does not provide medical consultations or advice; however, we can inform you about any concerns related to the tour (duration, difficulty level, etc.) to be shared with your doctor.
d. Right to Participation:
INCA FOOTPRINTS reserves the right to deny any individual the right to travel or participate in specific tourist activities if their physical or mental condition is deemed unsuitable for the trip or poses a risk to themselves or others.
e. Disclosure of Pregnancy:
Pregnancy is classified as a medical condition and must be disclosed at the time of booking. INCA FOOTPRINTS may refuse to accept pregnant women or individuals with specific medical conditions if we cannot guarantee suitable accommodations or alternatives for their health, as we aim for an unforgettable and pleasant stay and vacation.
f. Travel Insurance:
We recommend that our clients and all travelers, in general, obtain comprehensive travel insurance in their home country. Such insurance can offer protection in medical emergencies, tour cancellations, or other unexpected events during the trip. If you do not have insurance, you may inquire in advance whether our company can offer similar insurance. If you choose not to opt for travel insurance, you must sign a document expressing your decision, and INCA FOOTPRINTS TRAVEL S.A.C. will not be held responsible for that choice.
g. Your Health is Our Priority:
INCA FOOTPRINTS places great importance on the safety and well-being of its clients. We urge all travelers to be transparent about their health status and make informed decisions about their ability to embark on our tours.
8. TOUR AND TREK TERMS AND CONDITIONS
a. Prices:
Prices are set per person based on shared accommodation for two (including hotels, campsites, and tents). Solo travelers may be paired with someone of the same sex. Personal tent or room requests may incur an additional charge.
Note: Prices vary depending on the type of tour booked.
b. Payments and Service Fees:
Balance payments must be made at least 2 days (48 hours) before your tour. Payments can be made in cash, PayPal, or debit/credit card.
Note: Payments via credit/debit card and PayPal incur an additional 5% fee. Please review the PAYMENT POLICIES section for detailed information.
c. Group Dynamics and Guidance:
By joining a group tour, you understand that the pace and schedules of the group may vary due to individual capabilities. If you wish to explore different areas on your own or encounter issues during the tour or with the guide’s services, please contact the guide or an INCA FOOTPRINTS representative immediately to resolve them.
d. Transport and Itinerary:
All Adventure Treks ensure return transportation to Cusco, with the return route by train (subject to availability). INCA FOOTPRINTS may adjust your itinerary if deemed necessary.
e. Health and Safety on the Trail:
If a participant falls ill or is injured and cannot continue, a porter or staff member will accompany them to a location where emergency assistance is available. The traveler will be responsible for the expenses incurred for helicopter air transport and medical treatment if necessary. If the illness or incident prevents you from completing the tour, we will help you rejoin the group at Machu Picchu (where applicable), but additional fees will apply. No refunds will be provided for the initial payment. However, we can provide formal certification of the incident or illness for travel insurance purposes if needed.
f. Responsibility and Obligations:
INCA FOOTPRINTS prioritizes the safety of our clients by hiring highly qualified professionals who take preventive measures to avoid accidents, illnesses, and loss of personal belongings. We are responsible for the actions of our employees, but we cannot be held responsible for the actions of third parties. Therefore, we advise our clients to supervise their personal and rented items for added security. INCA FOOTPRINTS is not responsible for unfavorable weather, natural disasters, strikes, accidents, health issues, loss of personal items, etc. Clients should have insurance that covers these eventualities. We reserve the right to change or cancel programs due to unforeseen adverse conditions.
g. Passports and Visas:
Travelers must ensure that their passports are valid for a minimum of 6 months after their travel dates and have the necessary visas. INCA FOOTPRINTS TRAVEL S.A.C. is not responsible for any issues related to passports or visas. If you are renewing your passport, please contact us as soon as possible and send us a photo of both your old and new passport. Failure to update may result in denial of entry to Machu Picchu and other sites if booked in advance.
h. Group Size and Tour Language:
Tours are primarily bilingual and can be conducted in English or Spanish. Tours have up to 12 participants of all ages and abilities. Group size is subject to future changes.
i. Gratuities:
While tipping remains voluntary in Peru, guidelines are provided in your final travel documents during the briefing session the day before your tour. The amount or whether to tip is entirely up to each person.
j. Hotel Accommodation Conditions:
These conditions apply only to accommodations in Cusco and Aguas Calientes.
- Standard Double Rooms: We allocate accommodation in standard double rooms. The rooms are equipped with two beds and private amenities, ensuring your comfort and privacy.
- Double Bed Rooms: If you prefer a room with a double bed, specify this when booking. We will check availability and make the necessary arrangements.
- Upgrades and Special Requests: Hotel upgrades are available to enhance your stay. Please notify us in advance of any upgrade or specific requirements.
k. Assumption of Risks:
Adventure and exploration carry associated risks. By proceeding with your booking, you acknowledge these potential risks. Your decision to join any of our tours indicates your voluntary acceptance and understanding of these risks.
l. Limitation of Liability:
INCA FOOTPRINTS TRAVEL S.A.C.’s financial liability towards its clients is strictly limited to the total amount they have paid to the company. Beyond this monetary limit, INCA FOOTPRINTS TRAVEL S.A.C. will not be responsible for any damage, loss, or direct or indirect cost incurred by the client unless explicitly specified in these Terms and Conditions.
m. Applicable Law:
All interactions, transactions, and potential disputes arising from the use of this website or any engagement with INCA FOOTPRINTS TRAVEL S.A.C. will be subject to the Legal Jurisdiction of Peru. By using our services, you, the customer, agree to the jurisdiction and governance of Peruvian courts for any issue or dispute that may arise.
n. Right to Use Images:
By participating in any of the activities offered by INCA FOOTPRINTS, the client grants permission to capture and use any images, photos, and videos taken during the tour for promotional and marketing purposes. The client acknowledges that no compensation will be received for the use of such images. If the client does not wish for INCA FOOTPRINTS TRAVEL S.A.C. to use their tour images for promotional purposes, they must inform their Experience Designer via email before the trip.
